Scope
This Payment and Refund Policy governs all registrations, delegate fees, sponsorship fees, and participation contracts related to events, conferences, summits, and business intelligence services organized by Zenith-Energie International s.r.o. (hereinafter “Zenith-Energie”).
Payment Policy
Full payment of the event fee is required at the time of registration unless otherwise agreed in writing.
The registration fee covers conference access, lunch, refreshments, and digital or printed event materials.
Registrations remain unconfirmed until payment is received in full.
If payment is not received within the specified period, Zenith-Energie reserves the right to cancel the registration without prior notice and reallocate the delegate seat.
Payments must be made in the currency stated on the invoice via the approved payment methods.
Any bank transfer charges or international fees are the responsibility of the participant.
Substitution Policy
Delegates may be substituted at any time by providing written notice to Zenith-Energie at least 5 (five) business days prior to the event start date.
The substitute delegate must represent the same organization or company as the original registrant unless otherwise approved by Zenith-Energie.
No additional administrative fee applies for substitutions.
Cancellation by Delegate
All cancellations must be submitted in writing via email to info@zenith-conferences.com and acknowledged in writing by Zenith-Energie.
For cancellations received 15 (fifteen) business days or more prior to the event, the participant is entitled to a 90% credit note of the paid fee, valid for 12 months from the date of issue.
A 10% administrative fee will be retained to cover processing costs.
For cancellations received within 14 (fourteen) days or less before the event, no refunds or credits will be issued.
No-shows will not be entitled to any refund or credit.
Event Cancellation or Postponement by Zenith-Energie
If Zenith-Energie cancels an event, the client will receive a 100% refund or credit note equal to the paid amount.
If the event is postponed and the participant cannot attend the rescheduled date, a full credit note will be issued, valid for 12 months toward another Zenith-Energie event.
Credit notes are non-transferable and must be used for an event mutually agreed upon within one year of issuance.
Refunds or credits apply to the registration fee only. Zenith-Energie assumes no liability for travel, accommodation, or incidental expenses incurred by participants.
Force Majeure
Zenith-Energie shall not be held liable for any delay, alteration, or cancellation caused by circumstances beyond its control (“Force Majeure”).
Force Majeure events include, but are not limited to:
Acts of God (flood, fire, earthquake, storm, or other natural disasters)
War, terrorism, or political unrest
Government restrictions or public health emergencies
Strikes, labor disputes, or transport disruptions
Power outages or digital infrastructure failures
In such cases, Zenith-Energie reserves the right to reschedule, modify, or cancel the event without liability. Participants will be notified promptly, and credit will be offered for future participation where appropriate.
Alteration and Substitution of Event Content
While Zenith-Energie strives to ensure all speakers, topics, and schedules are confirmed at publication, circumstances beyond control may require substitutions or changes.
The company reserves the right to replace speakers, modify sessions, or alter agendas without prior notice or liability.
Updated information will be published promptly on the official event webpage.
Such modifications do not entitle participants to refunds or credits.
Discount Policy
All Early Bird or promotional discounts require full payment at the time of registration and before the stated cut-off date.
Discounts, including group or team offers, are only valid if payment is completed in full before the applicable deadline.
Discounts cannot be combined with other offers or promotions unless expressly stated.
Retroactive discounts (after payment) are not applicable under any circumstances.
Refund Method and Processing Time
Approved refunds will be processed using the same method of payment used for the original transaction, unless otherwise agreed.
Refunds or credit notes will be issued within 30 business days from approval.
Zenith-Energie will not be liable for delays caused by banking or payment intermediaries.
Liability Disclaimer
Zenith-Energie does not accept responsibility for loss, damage, injury, or inconvenience caused by event cancellations, substitutions, or schedule changes.
The company’s liability is strictly limited to the amount of the paid registration fee.
Zenith-Energie is not responsible for indirect or consequential damages, such as travel costs, accommodation, or lost profits.
Delegates’ Responsibility
Participants are responsible for ensuring:
Valid travel documents and visas (if applicable)
Personal insurance coverage for travel and attendance
Compliance with venue and safety regulations during the event
Acknowledgement and Acceptance
By registering for a Zenith-Energie event or completing payment, the client acknowledges that they have read, understood, and agreed to the terms of this Payment, Refund, and Discount Policy.
